Smart Classroom Attendance System for Coaching Institute

Built a cloud-based RFID attendance system with student management, live dashboard and parent alerts for a coaching institute with 400+ students.

The Problem

The institute was using manual paper registers. It took 15-20 minutes for attendance roll call daily, leading to lost teaching time and proxy attendance. They had no parent communication channel.

Our Approach

Discovery with the operations team, observation of the existing flow, and pilot planning with a single classroom before full deployment.

The Solution

Deployed ESP32-based RFID readers at 6 entry points backed by a Firebase cloud dashboard. Synced to a student database with daily, weekly and monthly attendance reports. Integrated WhatsApp parent alerts.

Result

Attendance roll call time dropped from 15-20 minutes to under 60 seconds. Parent alerts went out within 5 seconds of tap-in. First month: 0% proxy attendance, 4+ hours of class time saved per day.
